How it works

The journey of a post, from planning to publishing.

1. The agency plans the month

Every client has their own board. The social media manager builds the whole period on a single screen: title of each post, format (photo, carousel, reels, story), planned date, brief and owner. While the plan is a draft, the production team cannot see it — it only appears once it is sent to production.

2. The team executes

Designers and video editors open Flow and see only their own work, with due dates color-coded by urgency. Each task carries the brief, the references and, for video, the script. Deliverables are attached to the card itself, and only then can the task be marked as done.

3. Internal review

Before it reaches the client, the social media manager reviews it. They can approve it or send it back with a note. Every stage change is recorded in the post history.

4. The client approves

The client receives a link and opens the approval area — nothing to install. There they see each post as it will look, with artwork and caption. They can approve it, request a change to the artwork, request a change to the caption, or edit the caption themselves.

5. Publishing

Once approved, the post enters the scheduling queue. At the chosen date and time, Flow publishes automatically to the accounts the client connected. Publishing immediately, without scheduling, is also possible. Links to the published posts are stored on the card.

Who sees what. Everyone sees only what they need: the production team sees their own tasks; social media and management see the full pipeline; the client sees only their own content, at the approval stage.

Tracking

  • Calendar — every post of the month, draggable to change the date.
  • Team dashboard — each person's workload, what is overdue and what is due soon.
  • External calendar — each client gets a calendar link to subscribe in Google Calendar, Apple or Outlook.
  • Notifications — browser and mobile alerts when something needs attention.
